Gmail data management

Connecting Gmail is optional. This page explains the Gmail access AI Acquisition Platform uses for outreach, what the platform stores, and what happens when you disconnect.

What Gmail access is used for

If you connect Gmail, the platform uses the Google permissions you approve to send outreach messages that you create or authorize and to detect replies to your outreach threads. The integration also reads your Gmail address so it can identify the connected sending mailbox.

To find replies, the platform lists inbox message identifiers and reads limited message metadata: sender, subject, Gmail message and thread identifiers, the RFC 822 Message-ID header, the received timestamp, and a short Gmail-provided snippet. It uses that data to match a reply to an outreach thread and stop the related sequence.

The platform does not download full message bodies, attachments, drafts, or mailbox settings. It does not use Gmail data for advertising or market research.

What is stored while Gmail is connected

  • Encrypted Google OAuth credentials used to make the Gmail requests you authorize.
  • The connected Gmail address and operational connection status.
  • For matched inbound replies: the subject, short snippet, RFC 822 Message-ID, Gmail message and thread identifiers, direction, and timestamp.
  • Campaign, prospect, sequence, and outbound message history created in AI Acquisition Platform. This is platform outreach data, not imported mailbox content.

What happens when you disconnect

A successful disconnect asks Google to revoke the connected credential, stops future Gmail access through the platform, deletes the stored Google account credentials, and removes the stored subject, short snippet, and RFC 822 Message-ID from synced inbound replies.

The platform retains limited non-content records: the mailbox connection record, Gmail message and thread identifiers, message direction and timestamps, links to the related campaign, and outreach history created in the platform. These records preserve audit continuity and prevent deleted Gmail content from being imported again after a reconnect.

If Google does not confirm revocation, the disconnect does not report success or delete the local credentials and synced content. You can retry or revoke access directly in your Google account settings.

Retention, deletion, and backups

Gmail-derived content described above is removed from the active platform records when a disconnect succeeds. No fixed backup-retention period is currently published. For a deletion request, or questions about retention and backup handling, contact support@aiacquisition.com.

Platform outreach history and limited operational or audit records may be retained when needed to operate the service, prevent duplicate processing, maintain security, or comply with legal obligations. You can ask us to review or delete specific account data, subject to those requirements.

  • Revoke AI Acquisition Platform access from your Google account settings.
